Client Support Services & Administration - Psychiatry & Allied Health
Position Summary:
A vacancy exists with our Melbourne team for a highly skilled, motivated and enthusiastic Client Support & Administration Officer with appropriate knowledge and skills in mental health to join our friendly and supportive team within teams at our Hawthorn and East Melbourne Clinics.

We offer Psychiatry and Allied Health options for mental health support including Autism Spectrum Disorder, Depression, ADHD and OCD using integrated pharmacological and neuromodulation and psychotherapeutic applications. By adopting a personalised approach, neurocare Clinics provide evidence-based programs to support Clinicians best practice and to provide patients with achievable and sustainable therapeutic outcomes.
In this regard, our client services team bring value to the organisation by facilitating the administration functions for the clients and clinicians to support service delivery and documenting crucial client data. Thus, a continuous high level of client care is ensured to optimise customer experience.
What you'll do:
- Work efficiently in a friendly client services based role supporting our clients and clinicians
- Act as the first point of contact for clients and provide excellent customer service both face to face and over the phone
- Work under the guidance of our qualified healthcare professionals to carry out duties which complement the therapeutic support of each client
- Provide assistance to clinicians with intake and assessment coordination
- Carry out face-to-face and non face-to-face tasks that bring life changing experiences to our clients
- Adapt to and manage an environment where there is at times competing priorities
- Answer incoming calls and respond to enquiries
- Follow up referrals for clients in a timely manner
- Support with administration tasks enquiry and waitlist management
- Book and confirm client appointments
- Process client invoicing and receipting
- Accurately process relevant paperwork including data entry
- Manage patient records and filing of patient notes
- Provide roster relief and support other CSS team members across our Melbourne clinics
About you:
- Experience working within a mental health / disability / health-related field
- Bachelor of Psychology is an advantage
- At least 1 year experience within a healthcare environment
- Excellent customer service skills
- Exceptional computer and IT skills, Microsoft Office Suite essential with the ability to learn new systems quickly
- Highly developed interpersonal, written, organisational and time management skills
- Be proactive and possess excellent problem-solving skills
- Previous experience with Medicare, medical billing, and receipting
- Successful applicants must be prepared to work in a multi-skilled area of healthcare, have a strong focus on client needs and be able to maintain strong working relationships with Doctors and clinicians
- Ability to work cohesively within a multi-disciplinary team
- Maintain a high level of confidentiality at all times
